After years of building homes across the Illawarra and South Coast, I’ve noticed something.
The projects that run well aren’t always the biggest or most straightforward. What usually makes the difference is the plan we put in place before the build really got moving.
There are four things I make a point of getting right on every project. They might not sound particularly exciting, but they have a big impact on what it actually feels like to build or renovate your home.
1. You should know exactly what you’re signing
A building contract isn’t just paperwork to get out of the way before construction starts. It sets out how the project will work — including payments, timeframes, variations and what happens when something needs to change.
That’s why I want clients to have the actual draft contract in front of them before they sign anything.
Take your time reading it. Feel free to ask questions, discuss with your solicitor, or seek a second opinion if needed. I’d rather have those conversations before construction starts than deal with confusion halfway through the job.
Getting this part right at the beginning gives everyone a much clearer starting point.
It’s not just me saying this either. Undercover Architect’s episode with Ben walks through that stretch of a project. This part covers the weeks after signing the contract, early communication, and the site’s start. It offers a homeowner’s perspective on what that stage can look like.
2. You should always know where the project stands
One of the simplest things we use is a project schedule.
It gives you a visual picture of what’s happening, what’s coming up and when we’ll need decisions from you.
That last part matters more than people sometimes realize. A lot of decisions during a build can affect what happens next, so knowing when they’re coming up gives you time to think about them properly.
The schedule isn’t there to rush you. It’s there so we can look at the plan together and know where things are at, rather than trying to work it out as we go.
3. Site meetings should actually move things forward
There’s a big difference between saying, “I’ll catch you on site sometime next week,” and having a proper site meeting booked into the calendar.
From the beginning of the project, we schedule regular site visits so there’s dedicated time to walk through the work, discuss decisions and deal with anything that needs attention.
Sometimes it’s a big decision. Sometimes it’s simply looking at what’s been completed and confirming what happens next.
And when you’re not on site, the client portal keeps the project moving. The client portal ensures updates, information, and communication remain current, so you don’t have to wonder what’s happening between visits.
It’s a theme that comes up again and again once you talk to enough people who’ve been through a build. Undercover Architect makes the case that communication is the single biggest factor in whether a project runs smoothly — more than budget, more than design. That’s really why we’ve built our process around it rather than leaving it to chance.
4. Nothing should depend on someone’s memory
A build can involve hundreds of conversations, decisions and documents. Trying to keep track of all of that through text messages, emails and phone calls is asking for something to get missed.
That’s why we keep project communication in our client portal, where the important information can be kept together.
We also record meetings and keep proper meeting minutes. Not because we want to create more paperwork, but because six months into a project, “I think we talked about that” isn’t particularly useful.
There should be a clear record of what was discussed and what was agreed.
The same goes for the end of the project. Warranties, manuals and inspection certificates are part of handing over a finished home, so we make sure there’s a clear process for collecting and passing those on rather than leaving the homeowner to chase them up later.
Final Thoughts
We consider this not particularly complicated.
But when you put these four things together — clear contracts, a visible schedule, regular site meetings and good project records — the experience of building becomes much easier to navigate.
You know what you’ve agreed to, what’s happening next, and when we need you involved. And you know where to find the information when you need it.
For me, that’s what a well-run build should feel like.
